  This privacy policy explains how we use and store personal information you provide

to PFA when you attend our pre retirement/mid-career/pensions awareness courses.

 

 We respect your right to privacy and are committed to maintaining it. We only collect, store

and process your personal information in accordance with the relevant laws and regulations.

 

The following explains our policy in detail:

 

What information do we collect about you?

 

When you complete a course evaluation form we ask you to give us your title, name, home address and e mail address. We also ask for your home, mobile and work telephone numbers; your age, length of service within the NHS and date of retirement (if known) and job description.

 

There are three questions relating to the course to give PFA an evaluation of the day.

 

There are a number of boxes on the evaluation form relating to topics covered on the course which we ask you to tick if you want further information. We then ask if there are any specific areas of interest.

 

What do we do with this information?

 

If you have requested further information and have signed the form giving your permission to pass on the information we then transfer your details onto an electronic spreadsheet.

 

The statement we ask you to sign is as follows:

 

“ I authorise PFA to forward the information given here to the independent financial advisor

and/or the estate planner who attended today’s course.”

 

If you have not requested further information and have not given your permission by way of signing the form your details are not transferred onto the spreadsheet.

 

This spreadsheet is then emailed to the advisors that presented on the day, this is the independent financial advisor and the estate planner.

 

PFA also stores the spreadsheet for future reference. The spreadsheet forms part of a ‘master spreadsheet’ which includes spreadsheets from all the courses we deliver for all our NHS Trust clients.

 

Should either of the advisors misplace the spreadsheet which prevents them from following up requests PFA can provide a new copy.

 

In some circumstances historic information such as number of requests may be required by the advisors by way of research into year on year comparison into the effectiveness of the courses.

 

The information is stored purely for these purposes, it is not used for any other purpose nor is it passed on or sold to any other parties. Only the advisors that attended the course on that day will be given the information.

 

The original evaluation forms are retained in the e mail sent from the course co-ordinator to PFA’s head office. All forms are retained even if the information is not transferred to the spreadsheet.

 

This is to ensure a complete history of course evaluation is maintained. In certain circumstances the NHS Trust that acted as host for the course (the delegates’ employers) may ask to see the full evaluation of the course.

 

In these cases all sensitive information such as requests for further information and specific interest information is concealed and only the evaluation of the course can be seen.

 

How long will we store your information?

 

We will store information for a period of 3 years which enables us to compile the historic data PFA needs for research into the effectiveness of the courses.

 

Your rights over your information

 

As you provide your information on the evaluation forms as listed above you are aware of what information PFA holds.

 

Once you sign this form you give PFA permission to pass on your personal information to the advisors that presented on the course you attended.

 

PFA does not use your information for any other purpose other than to pass it on to those relevant advisers.

 

If at any time you wish PFA to delete your information you can do so by contacting us on the telephone number or e mail shown below.

 

Contact via PFA’s website/telephone

 

If you have not attended a course but have contacted PFA via the web site or by telephone and you have requested information from an independent financial advisor and/or estate planner, you will be asked for your written permission to pass your details on to one of our licensed advisors.

 

That permission may be given via an email, on receipt of that written permission PFA will pass your details onto the relevant advisor and PFA will then delete your details.
